    1. Who we are<\/h2>\n

    Glowedge is based in the Netherlands and is the controller for the data described in this privacy policy. In this privacy policy, we refer to ourselves as \"Glowedge\", \"we\", or \"us\". <\/p>\n

    We can be reached via support@glowedge.io.<\/p>\n

    This privacy policy applies to:<\/p>\n

    • the website glowedge.io and all subdomains;<\/li>\n
    • the Glowedge platform with which customers manage their marketing, sales, service, commerce, content, and data;<\/li>\n
    • all communication you have with us, by email, telephone, chat, or via forms.<\/li>\n<\/ul>\n

      2. Our role: controller or processor<\/h2>\n

      For data that we collect via our website, our own marketing, and our customer relationship, we are the controller within the meaning of the GDPR.<\/p>\n

      For data that our customers enter or collect in the Glowedge platform, such as contact details of their own customers, messages, appointments, and payments, the customer is the controller and we are the processor. We only process that data on behalf of the customer, based on a data processing agreement. The privacy policy of the customer in question then applies. Questions about that data should be directed to the organization you have been in contact with. <\/p>\n

      3. What data we collect<\/h2>\n

      Data you provide to us yourself<\/strong><\/p>\n

      • Name, email address, phone number, and company name when you fill out a form, schedule an appointment, create an account, request a newsletter, or contact us.<\/li>\n
      • Billing and payment details when you take out a subscription. Payment details such as card numbers are processed by our payment service provider and are not stored by us. <\/li>\n
      • Login details and settings of your account.<\/li>\n
      • The content of messages you send us.<\/li>\n<\/ul>\n

        Data we collect automatically<\/strong><\/p>\n

        • IP address, browser type, device type, operating system, and screen resolution.<\/li>\n
        • Pages visited, click behavior, referring website, and time of visit.<\/li>\n
        • Data from cookies and similar technologies, as described in chapter 6.<\/li>\n<\/ul>\n

          • Public company data, for example from the Chamber of Commerce or from your company website, to check and supplement our records.<\/li>\n
          • Data from partners who have referred you to us, with your consent.<\/li>\n<\/ul>\n

            If you provide us with data from others, for example a colleague who also needs access, you ensure that you have permission for this.<\/p>\n

            Where we rely on legitimate interest, we have weighed whether your privacy interest outweighs it. You can always object, see chapter 12. <\/p>\n

            Data required for an account, an appointment, or an invoice is mandatory; without that data, we cannot provide the service. On forms, we indicate which fields are mandatory. You provide all other data voluntarily. <\/p>\n

            5. Use of artificial intelligence<\/h2>\n

            Parts of the Glowedge platform use AI, for example for answering messages, summarizing conversations, and drafting texts. These functions are only used to provide the service to you. We do not use your personal data to train general AI models. Our AI providers may only use your data for the specific function you are using. <\/p>\n

            Data that the platform receives via Google APIs, such as Google Workspace, is used in accordance with the Google API Services User Data Policy, including the Limited Use requirements.<\/p>\n

            We do not make decisions about you based solely on automated processing that have legal consequences or otherwise significantly affect you.<\/p>\n

            6. Cookies<\/h2>\n

            We use cookies and similar techniques on our website. On your first visit, we ask for consent for cookies that are not strictly necessary. <\/p>\n

            Necessary cookies<\/strong><\/p>\n

            These are necessary for the website to function and do not require consent.<\/p>\n

            • When you log in, we place cookies to remember your session and screen preferences. Session cookies expire after two days, screen preferences after a year. If you choose \"Remember me\", you will stay logged in for two weeks. When you log out, these cookies are removed. <\/li>\n
            • When visiting the login page, we place a temporary cookie to check if your browser accepts cookies. This contains no personal data and disappears when you close your browser. <\/li>\n
            • A cookie that remembers your cookie preferences.<\/li>\n<\/ul>\n

              Analytical cookies<\/strong><\/p>\n

              These allow us to measure how the website is used so that we can improve it.<\/p>\n

              • Google Analytics 4 (Google Ireland Ltd.), with IP anonymization.<\/li>\n
              • Contentsquare (Contentsquare SAS, France): anonymized heatmaps and session recordings. Filled-in form fields and personal data are masked. <\/li>\n
              • Glowedge tracking: measures which pages you visit and links this to your contact details after you have filled out a form or scheduled an appointment.<\/li>\n<\/ul>\n

                Marketing cookies<\/strong><\/p>\n

                These allow us and our advertising partners to show relevant advertisements and measure the effectiveness of campaigns.<\/p>\n

                • Meta Pixel (Meta Platforms Ireland Ltd.).<\/li>\n<\/ul>\n

                  You can adjust your cookie preferences at any time via the cookie settings at the bottom of the website. You can also delete or block cookies via your browser settings. Some parts of the website may then not work properly. <\/p>\n

                  7. Embedded content from other websites<\/h2>\n

                  Pages on our website may contain embedded content, such as videos, forms, and an appointment calendar. Embedded content behaves as if you were visiting the other website yourself. Those websites may collect data about you, use cookies, and track your interaction. <\/p>\n

                  Our forms, chat widget, and appointment calendar are part of the Glowedge platform and fall under this privacy policy.<\/p>\n

                  8. Who we share your data with<\/h2>\n

                  We never sell your personal data. We only share data with parties that help us provide our services, and only to the extent necessary. <\/p>\n

                  Processors and suppliers<\/strong><\/p>\n

                    \n
                  • Hosting and infrastructure suppliers for the Glowedge platform and our website, including the sending of email and SMS.<\/li>\n
                  • Stripe Payments Europe Ltd. (Ireland): processing of card payments and direct debit. Payments by bank transfer go through our bank. <\/li>\n
                  • Google Ireland Ltd., Meta Platforms Ireland Ltd., and Contentsquare SAS: analysis and advertisements, only with your consent.<\/li>\n
                  • Anthropic and Google: AI functions in the platform, such as answering messages and drafting texts. These suppliers do not use your data to train their models. <\/li>\n<\/ul>\n

                    We have entered into data processing agreements with all these parties that limit the use of your data and mandate security.<\/p>\n

                    Other situations<\/strong><\/p>\n

                      \n
                    • When we are legally obliged to do so, for example by order of a judge or regulator.<\/li>\n
                    • To protect our rights, prevent fraud, or ensure the security of the platform.<\/li>\n
                    • In the event of a merger, acquisition, or sale of (part of) our company. We will inform you about this in advance. <\/li>\n
                    • When you give us permission to do so.<\/li>\n<\/ul>\n

                      We do not share your phone number and your consent for SMS messages with third parties, with the exception of the providers of the SMS service itself.<\/p>\n

                      9. Transfer outside the European Economic Area<\/h2>\n

                      Some of our infrastructure and AI suppliers are based in the United States. These suppliers are certified under the EU-U.S. Data Privacy Framework or bound by the standard contractual clauses of the European Commission, supplemented by additional measures where necessary. If you would like an overview of these suppliers or a copy of the safeguards used, please contact us. <\/p>\n

                      10. How long we keep your data<\/h2>\n

                      We do not keep data longer than necessary for the purpose for which we collected it.<\/p>\n\n\n\n\n\n\n\n\n\n\n\n\n

                      After the retention period has expired, we delete or anonymize the data. We can keep anonymized statistics indefinitely. <\/p>\n

                      11. How we secure your data<\/h2>\n

                      We take appropriate technical and organizational measures to protect your data against loss, misuse, and unauthorized access. This includes encrypted connections (TLS), encrypted storage, role-based access control, two-step verification for administrator accounts, and regular backups. Our suppliers are contractually obliged to take similar measures. <\/p>\n

                      No system is completely secure. If you suspect that your account has been compromised, please contact us immediately via support@glowedge.io. <\/p>\n

                      12. Your rights<\/h2>\n

                      Under the GDPR, you have the following rights:<\/p>\n

                        \n
                      • Access<\/strong>: you can request which data we have about you.<\/li>\n
                      • Rectification<\/strong>: you can have incorrect or incomplete data corrected.<\/li>\n
                      • Deletion<\/strong>: you can ask to have your data erased, unless we are legally required to keep it.<\/li>\n
                      • Restriction<\/strong>: you can ask to temporarily stop the processing, for example during a dispute.<\/li>\n
                      • Portability<\/strong>: you can receive your data in a common file format to use it elsewhere.<\/li>\n
                      • Objection<\/strong>: you can object to processing based on legitimate interest and always against direct marketing.<\/li>\n
                      • Withdraw consent<\/strong>: if you have given consent, you can withdraw it at any time. This has no consequences for processing that took place before the withdrawal. <\/li>\n<\/ul>\n

                        You can exercise your rights by sending an email to support@glowedge.io. We will respond within one month. For complex requests, this period can be extended by two months; we will let you know if that is the case. To prevent abuse, we may ask you to prove your identity. If you send a copy of your ID for this purpose, please make your BSN (citizen service number), passport photo, and document number unreadable. We will delete the copy immediately after verification. <\/p>\n

                        Unsubscribing from newsletters is also possible via the unsubscribe link at the bottom of each email.<\/p>\n

                        If you are not satisfied with how we handle your data, you can file a complaint with the Dutch Data Protection Authority via autoriteitpersoonsgegevens.nl. If you live in Belgium, you can contact the Data Protection Authority via gegevensbeschermingsautoriteit.be. <\/p>\n

                        13. Children<\/h2>\n

                        Our services are intended for businesses. We do not knowingly collect data from persons under the age of 16. If we discover that this has happened, we will delete that data as quickly as possible. If you suspect that a minor has provided us with data, please let us know via support@glowedge.io. <\/p>\n

                        14. Links to other websites<\/h2>\n

                        Our website contains links to third-party websites. We are not responsible for the privacy practices of those websites. Read their privacy policy before providing data. <\/p>\n

                        When you link to an external service from the platform, for example your Google, Meta, or accounting account, you give that service permission to exchange data under its own terms. You can withdraw that link at any time via the settings of the service in question. <\/p>\n

                        15. Changes to this privacy policy<\/h2>\n

                        We may adjust this privacy policy, for example in the case of new functions or changed legislation. The date at the top indicates when the last change was made. In the event of significant changes, we will inform customers by email or via a notification in the platform. <\/p>\n
